Keep the issue, quote, decision, completion evidence and approved cost connected from the first report.

Record the reason for the repair.
Start with the property, the reported issue, urgency and evidence. Include whether it affects a current stay, a future arrival or a scheduled care visit. The purpose is to make the proposed work understandable to the supplier and the person approving it without exposing unrelated guest or owner information.
Approve a scope, not just a number.
A useful quote explains the proposed work, cost basis and any limits. Check the management agreement to establish who can authorise the work and when an owner decision is required. An approval should refer to that quote and scope. If either changes materially, retain the original decision and record the additional approval rather than assuming the first permission covers everything.
- Scope and quote recorded
- Applicable agreement identified
- Responsible approver confirmed
- Decision and limits retained
Separate permission from completion.
Approval allows work to proceed under defined conditions. It does not prove the repair happened. Capture the supplier’s completion evidence, actual cost and any follow-up needed. If a property was blocked, operations should make an explicit decision about releasing it after checking the result.
Trace the cost into reporting.
Keep the approved expense linked to the issue and the property agreement. This helps explain who bears the cost and gives the owner a clear record of the decision. A supplier invoice without the original context leaves accounting to guess why the expense exists or whether it was authorised.
The planned Nidomera workflow.
Nidomera’s maintenance design follows report, diagnosis, quote, approval, work and completion evidence. Finance is planned to retain the connection to approved supplier costs. Neither operational module is available in production today; the guide describes a practical workflow, not an assurance of a live integration or service.
